Initial Review

Approximately 5 days after the closing date of the stated deadline, all of the information will be reviewed against the initial questionnaires sent.

At this stage there can be up to 3 responses that we will make:

Response One

 

We will write again to any contractors that have not responded to the initial letter and questionnaire.  This letter will outline further the importance and the legal requirement for you, as our client, to assess all sub-contractors.  A further deadline will be sent and the letter will state that unless we hear from the contractor we will assume that they no longer wish to be considered for appointment by your organisation.  Again the contractor will have the opportunity to contact us by email or telephone at any time.  At this stage we will also provide links to HSE leaflets that outline the duties and legal responsibilities of the contractor.

Response Two

Questionnaires and supporting documentation received by the initial deadline will be reviewed by a Chartered Health & Safety practitioner.  If there are any areas that need clarification or any additional supporting information required a further letter will be sent to the contractor.  There may for instance be a descrepancy in what is detailed on his questionnaire and the supporting information received, or we may simply need a commitment from them to undertake training.  Asking for further information does not mean that the contractor hasn't met the minimum legal requirements it is a means of clarifying points and potentially ensuring that the contractor enters the database of contractors at the highest level initially.

Response Three

This response is sent in such circumstances where we are satisfied with the responses that we have received from the contractors, and do not see a need for any further enquiry.  We will advise the contractor of their Safety Check database status, which in most circumstances would be 'Preferred Contractor' or 'Approved Contractor'.

Once we have received all responses back, we will advise you of the contractors level of acceptance, whether they are Non-Compliant, Approved or Preferred Contractors These 3 levels are:

  • Non-Compliant - Not meeting the minimum legal requirement with no commitment to do so.
  • Approved - Meeting the minimum legal requirements or demonstrating a commitment to do so within a specified time period
  • Preferred - Meeting all legal requirements and clearly demonstrating a good Health & Safety culture
